Products & Inventory

Inventory & stock

Every product (or variant) has a stock count that Forma keeps accurate automatically as orders come in.

How stock decreases

Stock is reserved when an order is placed and confirmed as sold once it's marked paid. If an order is cancelled, its stock is returned to the pool automatically — you never have to manually adjust counts after a cancellation.

Out-of-stock behavior

When a product or variant reaches zero stock, it becomes unselectable at checkout — the option is shown but disabled rather than removed, so customers can see it exists without being able to order it. Restocking (raising the count back above zero) makes it orderable again instantly.

Low-stock warnings

Your dashboard home's "Needs attention" card surfaces products running low so you can reorder before you actually sell out — check it regularly, especially for fast-moving items.

Adjusting stock manually

Open any product (or variant row, for products with options) and edit the stock field directly — useful after a physical stock count, a damaged batch, or receiving new supply.

Cost per unit feeds your accounting

If you track a cost per unit alongside stock, Forma uses it to calculate gross profit and inventory value on your Accountingpage — worth filling in even though it's optional.
