Orders & fulfillment

Every purchase on your storefront becomes an order under Sell → Orders, tracked through two independent states: order status and payment status.

Order status

An order moves through five possible statuses:

  • Pending — placed, not yet paid or confirmed.
  • Paid — payment received or confirmed.
  • Shipped — handed off for delivery.
  • Delivered — completed.
  • Cancelled — won't be fulfilled; stock is returned automatically.

Update status from the order detail page as it moves through your fulfillment process.

Payment status

Separately, every order tracks its payment: Unpaid, Awaiting payment, Proof submitted, Paid, or Expired. For bank transfer, mobile wallet, and crypto orders, customers submit proof of payment (a screenshot or transaction reference) that you review and confirm from the order page. Cash-on-delivery orders skip this — payment is confirmed on delivery.

The order detail page

Every order page shows the customer's details, the items ordered with variant and quantity, the payment method and any submitted proof, the shipping address, and the GST breakdown. From here you can update status, add internal notes, and print a shipping label if you've set a courier — see Shipping & delivery.

Always confirm payment proof before marking Paid

Marking an order Paid based on submitted proof is a manual step by design — Forma doesn't auto-verify bank/wallet transfers, so a quick check of your own bank or wallet app before confirming protects you from mistaken or fraudulent screenshots.
